Process

Granting Certification

To determine whether to grant initial certification, renew certification, or expand certification, a certification review will be conducted. This review will assess the following conditions:

  • The information obtained from the required assessment meets the certification requirements and the intended scope.

  • All major nonconformities have been resolved.

  • The plan for addressing and correcting any remaining minor nonconformities has been reviewed and accepted.

Refusing Certification

OASISCERT reserves the right to refuse certification applications or issue any certification or verification documents if, in its reasonable opinion:

  • The client fails to comply with the requirements of the relevant law, standard, rule, or scheme.

  • The client fails to fulfill its obligations under the contract.

  • The client utilizes OASISCERT's services in a manner that may mislead others or bring disrepute to OASISCERT.

Maintaining Certification

To maintain certification, the client must continue to meet the requirements of the management system standard and conduct periodic surveillance audits and fulfill the terms of service for certification set by OASISCERT.

Renewing Certification

Renewing certification refers to the status that confirms the client's ongoing fulfillment of the management system standard requirements as assessed during the recertification audit.

Recertification audits are conducted every three years and take place within two(2) months prior to the expiration of the certification.

Restoring Certification

Restoring the certification refers to the reinstatement of the client's certification to a valid and active status after a temporary invalidation.

Certification will be restored once the underlying issue that led to the suspension has been resolved.

Extension or Reduction of Scope

The extension or Reduction of scope will be requested to be assessed during the next Sureveilience Audit. The assessment is then planned with the client.

The client will be requested to submit the revised Management System Manual and related Procedures and to highlight the area of extension or reduction of scope. Where the client advises of the need to extend the scope of certification, the following must be ensured:

  • The wording of the scope to be applied

  • The size of the new activity (number of people involved)

  • Sector Code Holder for the new activity

  • The duration of the extension to scope assessment

Suspension of Certification

Certification can be suspended when certain criteria are not met, such as failing to adhere to standards established by the certifying organisation, disregarding regulations or policies, and other contributing factors, including;

1. Failure to conduct Surveillance Audit 1 or Surveillance Audit 2 annually.

2. If the Corrective Action Request (CAR) is not fulfilled within the stipulated time frame. OASISCERT provides written notice to the client 1 week before the due date to immediately execute the Corrective and Preventive Action (CPA). If the Corrective and Preventive Action (CPA) is not followed up within the specified time limit, the OASISCERT will initiate the freezing process

3. If the client misuses the OASISCERT certificate or Logo, the OASISCERT submits a recommendation to the management to suspend or revoke the certification. Then the management notifies OASISCERT about the decision to SUSPENDED or WITHDRAWN the certificate and then OASISCERT sends a letter to the Client.

4. If the Client has not settled the administration for Initial, surveillance and Re-Certification fees and has not made an official confirmation to the OASISCERT by the specified time limit, OASISCERT will send out a first warning in the form of a suspension letter starting one day after the previously arranged surveillance date. The Certificate will be suspended for a period of 30 days after the suspension is declared.

Withdrawal of Certification

Once the suspension period has ended, if a certified company has not taken appropriate action to address the results of the suspension, their certification will be withdrawn. This withdrawal is done 10 days after the end of the suspension period. Reasons for Withdrawal of a certification may include;

1.Inadequate corrective actions taken by the Client in response to the suspension

2. Failure to pay according to OASISCert's timeframe

3. Based on short notice, audit results found negative recommendations or complaints and/or changes.

4.  Failure to carry out surveillance of the certificate
